CCPP providers will submit ledgers each month to request
payment for services provided. CCPP pays providers based on child enrollment
with the center. CCPP providers must submit a ledger in the Child Care Payment
System (CCPS). All child care providers are required to maintain a record of
accurate attendance and absences on sign-in/out sheets and on daily class rolls
for each child. Providers shall retain sign-in/out sheets for a period of three
(3) years.
A. The sign-in/out sheets
must show the following:
1) Child's first and
last name (as listed on the child care certificate),
2) Full name of the parent/guardian or
parent's authorized representative,
3) Time the child is signed in with the
signature of the person signing the child in each day, and
4) Time the child is signed out with the
signature of the person signing the child out each day.
B. It is mandatory for sign-in/out sheets to
be maintained and made available upon request. Refusal to provide sign-in/out
sheets upon request to any MDHS or Mississippi State Department of Health
(MSDH) staff may result in further administrative investigation and/or
sanctions.
C. If sign-in/out sheets
are lost or damaged by an unforeseen occurrence such as fire, flood or natural
disaster, the child care provider must report the occurrence, and submit
evidence to MDHS within ten (10) days of the occurrence. Evidence of the
occurrence must include the date and time of the occurrence. The evidence can
be submitted by mail, fax, email or in person to MDHS.
D. In the event of program closure, three (3)
years of sign-in/out sheets must be provided to the Lead Agency upon last day
of operation.
